How do I set individual settings for a specific employee?

Customizing the clocking rules for a specific employee or department

By default, your organization's settings apply to every employee. However, some settings can be set at the employee level. This can be particularly useful for employees who:

  • Don’t need to clock in (such as managers);

  • Require stricter or looser clocking rules; or

  • Work in certain positions.


Accessing an employee's attendance settings

To access individual settings:

  1. Go into the employee profile through HR > Employees.

  2. Click Settings, then scroll down to the Time and attendance options.


Employees who don't need to clock

If an employee isn't requires to clock in, you may check This employee does not need to clock in or out (scheduled hours will be used). Scheduled hours will be directly sent to the timesheets as the shifts are completed.

Important: The automatic transfer takes place after the scheduled shift ends. Changes from past scheduled shifts won’t carry over. See this article for more details.


Ways to clock

If a mandatory clocking radius is activated for your organization, you can override the organization settings and dictate how this employee can clock in:

  • Whether they can sign in using the website, mobile app, both, or neither.

  • Allow clocking in or out if outside the set radius.

  • Allow employee to amend their own timesheets.


Override your organization's time clock settings

This employee needs to be scheduled to clock in

Activating this setting prevents the employee from clocking if a shift was not planned for that time. You can also give them a time window during which clocking in advance is allowed.

Use the shift's scheduled start time when this employee clocks in earlier

Important: We strongly recommend using this setting.

Whenever the employee clocks in earlier than planned and within the specified time window, the timesheet automatically sets the clock-in time to the planned start time. However, If the employee clocks in before the window, the time entry will not be applied.

Important: ​If the employee clocks in late, the rule does not apply; the employee is marked as late.

Use the shift's scheduled end time when this employee clocks out later than scheduled

Whenever the employee clocks out later than planned, the timesheet adjusts the clock-out time to the planned end time. However, all clock-out times after the affected window are not adjusted and require approval.

Important: If the employee clocks out before the scheduled end of their shift, the rule does not apply; the employee is marked as leaving early.


Hours staggering

You can override your organization's work hours staggering settings for an individual employee and choose to spread the employee's work hours over the entire pay period.


Biometry

Important: If the option to take a photo when your employees clocks on a fixed terminal is activated, you will have this setting activated in your employees' profiles.

If an employee does not give their consent for biometric analysis, you will have to deactivate it by clicking on it.
