How do I fix clock-in mistakes?

Correcting the most common clock-in errors

Occasionally, your employees may have trouble clocking in and out. This article describes the most common errors, as well as possible solutions to correct them for your employees.

To view all clock records, click Attendance > Clock log. This displays:

  • All successful clock-ins.

  • Failed attempts, and the reasons why.


Outside the radius

If a radius has been set in the mobile clock settings, the employee may be outside it.

My employee says they're onsite. What should I do?

Confirm that the address of your branch or resource is correct and that the geolocation point is in the right place.

For example, if the address is correct, but your building is set back from the street, it may be necessary to move the geolocation point so that employees can clock in.

To modify the point for a branch, go to Settings > Locations > Edit, then drag the geolocation point to the appropriate location and Save, like so:

Changing the point changes the radius.

To modify the point for a resource, click Resources > click on the resource > move the geolocation point, then Save.

The location point is right, but my employee still gets an error message saying they're not onsite! What should I do?

The app uses the GPS application on the user's phone. Make sure your employee has activated precise location in the settings of their iPhone or Android phone.

Their phone's GPS may also need a little time to update, especially if the Atlas Scheduling application was open in the background.

Your employee can close the Atlas Scheduling application and reopen it to allow the GPS to update. They can now clock in and out as normal.


Suggested time

If you've authorized employees to clock out outside the radius, they must enter the actual time they leave, as well as why. If this information is missing, they'll receive an error message.

All they have to do is enter the information and they'll be able to clock in.

To confirm that you've given this permission, go to Settings > Attendance and confirm that this option is enabled:


Fixed terminal restricted to a location

If you've restricted a fixed terminal to certain locations, an employee may get the message "You are not authorized to perform this action" when they try to clock in.

To check this, go to Attendance > Fixed terminals. You can then confirm whether the location in the employee's profile is associated with a fixed terminal.

If not, you can either add the location to an existing terminal or create a new terminal for this location.

Your employee can then clock in and out with their PIN.


Invalid PIN

If the employee enters an invalid PIN, they'll see an error message.

You can check the employee's PIN by going to their profile HR > Employees > select the employee > Profile. Under Employment is the Time and attendance PIN.

Note: The employee number is distinct from the time and attendance PIN, so the two may be different numbers.


Wrong type of time clocking selected (break versus end of shift)

Your employee may tell you that they've clocked out, but their timesheet doesn't show them having clocked out.

This usually occurs when the employee points to a break rather than the end of a shift.

You can check this by clicking on the time entry, then Log.

Remind the employee to select the right option when clocking in.

One way to limit the number of errors is to activate a parameter that prevents employees with no scheduled breaks from clocking in.

To do so, go to Settings > Attendance and activate this setting:

This way, only employees who have a scheduled break can select the break option, while others can only clock in and out.

Note: If an employee is working an unscheduled shift with this setting enabled, they cannot clock in or out, so be sure to create a shift for them.
