Adding Tasks to the Schedule

How to add tasks to your employees' shifts

Atlas Scheduling lets you add tasks to your employees' shifts and ensure their completion.


1. Adding tasks to the schedule

  1. If you have chosen to create a new shift, fill in the mandatory information as usual (start time, end time, position, etc.).

  2. In the Tasks section, press the Add button.

  3. Fill out the details of the Task:

    • Task name

    • Instructions (optional)

    • Start time for this task

To add more tasks, simply repeat steps 1 to 4.


2. Grace period for Task completion

You can set a deadline for completing tasks. Once this deadline has passed, employees will no longer be able to confirm that they have completed the tasks.

EXAMPLE: If a shift is ending at 5:00 p.m. and the deadline is set at 30 minutes, the employee will be able to confirm that he/she has completed the tasks until 5:30 p.m. After 5:30 p.m., the tasks will be visible to the employee, but it will be impossible for them to confirm they have completed the tasks.

To set the grace period:

  1. Click on the Settings tab in the left-hand navigation bar.

  2. Click on the Scheduling option.

  3. Scroll down to Shift settings.

  4. Enter the desired value under Grace period for shift task completion.

  5. Click on Save to confirm.


3. Validating task completion

Once tasks have been added to your employees' published shifts, they will be able to confirm that they have been completed a number of different ways.

Validating task completion via the Website

  1. Go to Schedule on the left-hand navigation bar

  2. The icon at the bottom of the shift will show you the total number of tasks as well as the number of completed tasks.

To see details of completed and uncompleted tasks, click on the shift.

Under the Tasks section you will see the tasks that have not been completed yet and under Completed you will see the tasks that your employee has checked as done.

Validating task completion from the dashboard

You can also validate task completion using your Overview page. To do this;

  1. Click on Home from the left-hand navigation bar

  2. Find the Shift tasks widget

The widget will give you the task completion percentage for the selected day, as well as a shortcut to the Shift and export report.


4. Exporting a Task report

You can also export a task report containing all scheduled tasks, only completed tasks or only uncompleted tasks.

  1. Go to Reports from the left-hand navigation menu

  2. Select the Scheduling option

  3. Select the Shift tasks report

  4. Select the desired options from the Configure area

  5. Click on Export
