How to filter positions and employees in the Schedule

A) Why Use Filters

Most action buttons in Atlas Scheduling rely on filters. When you have active filters, actions like the below apply only to the shifts you've filtered:

  • Publishing

  • Printing

  • Copying

Example: If you are working on creating and publishing schedules for the position of Client Success Representative and you've filtered to this position, when you click Publish, it will publish only to the shifts you've chosen to filter.

If you also only want to see certain employees it will give you the desired view.

B) Where are the filters

Filters are always on the left of the Scheduler

If your working screen is under 16 inches or your screen zoomed in, you will be able to access by clicking on each icon.


C) Location filter

You can switch between you locations under the location filter

D) Positions filter

The first filter you can use is the Position filter.

Each position selected will show up in the Schedule (1), the others will be left out or their shift will be unchecked (2). More on managing positions here.


E) Display filters

Under the "Display" section you will find additional filters.

Shifts:

  • Hide background shifts: Will complete hide unchecked shifts outside your filters;

  • Hide open shifts

  • Hide training

  • Hide confirmed shifts

  • Filter only the primary position: Combined with a position filter, will only consider this position if it is set as the primary position in the employee profile.

  • Group by position

  • Freeze open shifts row

  • Highlight incomplete tasks

Employees:

  • Employees with shifts: Will only show scheduled employees (with shifts)

  • Employees without shifts: Will only show employees not scheduled (without shifts)

  • All

Time Off:

  • Show

  • Highlight

  • Send to background; will appear paler

Budget:

  • Show budget


F) Advanced Employee Filter

An advanced filter with a search bar is displayed on top of the employees' name list.(Purple box shown below) Here are some advanced commands:

  • Whatever you write in this bar will be searched in the employee name and profile's notes.

  • If you separate items with "," it will work as "or" in the search: For example searching for "Kevin, Julia" will yield a result of all employees with the names Kevin or Julia

  • Separating items with "+" will work as "and" in the search: For example writing "lead+CPR" will yield a result of all employees with the words "lead" and "CPR" in their profile (positions and notes)
