Under Settings > Scheduling, you will find many options to customize the settings for your organization's scheduling. This article will go into these in more detail.
Schedule display
Schedule opening / Schedule closing.
Change the first day of the week for schedules only - We recommend that you set this day to be the same as the your pay week.
Show week number.
Show weather forecast - Forecasts are based on the selected location's address.
Hide empty positions.
Seniority
Add seniority based on total hours worked - When toggled on, can also select whether to exclude overtime from seniority.
Offer open shifts by seniority - Set a response time limit deadline for an employee to accept, before it is offered to the next employee with the most seniority.
Shift settings
Default break value - The amount of break given by default when creating a break on a shift.
Grace period for shift task completion - The time window during which employees can still mark shift tasks as completed after their shift has ended.
Employees must read confirm new work shifts in their schedule - This will show as a check symbol in the Schedule.
Allow hiding shift end times from employees - When toggled on, you can also choose to hide shift end times by default.
Automatically clock in/out for scheduled training shifts.
Shift transfer requests
Employees can:
Offer Shifts - Allows employees to give their shifts to others.
Exchange Shifts - Allows employees to exchange shifts.
IMPORTANT: Employees can only offer and exchange shifts with employees that also have the position required as well as being available. Refer to this article to visualize their process.
Approval
Schedule manager's approval is required for:
Shift transfers
Availability
Required number of days of notice for availability changes.
Employees can specify work time preferences.
Open shifts must be approved by managers - When disabled, open shifts are automatically assigned to the first employee who applies for it.
Employees can apply for open shifts that are in conflict with their schedule.
IMPORTANT: It is highly recommended leaving each setting in this section activated to avoid abuse.
Budget
Include on-call shifts in the total hour count - This option will add the shifts under open shifts to the total of hours in the Schedule.
Include training shifts in the total hour count.
Labor cost objective by default (%) - The ratio of Labor/profits you desire to respect. Is useful by using the labor cost calculator.
Custom objective - Let's you add a quantity that is divided by the quantity of daily scheduled hours (EXAMPLE: 80 estimated clients.)
Compliance management
This setting allows you to define rest and break periods adapted to the wellbeing of employees, in accordance with current recommendations.
Manage rest time - When toggled on:
Minimum daily rest - Daily rest of at least X consecutive hours between two shifts.
Continuous weekly rest - Weekly rest of at least X consecutive hours.
Scheduler alerts
Manage scheduler labor law alerts for employees aged 16 or under - When toggled on, you will have the option to disable temporarily until a set date.
