How do I create a shift?

Creating your schedule

If you're looking to create a shift using the mobile app, then click here.

You can save your most frequently used shifts as templates you can then add with one click. See this article.

Creating a shift

There are two ways to create a new shift:

1. Directly in the line of an employee

  1. In the schedule, hover your mouse cursor over a day in an employee's calendar line.

  2. Click the plus (+) icon to create a new shift for this employee.

2. From the create button

  1. In the schedule, click Create at the top-left of the calendar.

  2. Select Shift from the menu.

  3. From the sidebar, select the date the shift starts on.

  4. Select which employees to assign this shift to. You can filter by positions, sort your employee list, or search by employee name.

Shift information

When creating any shift, enter the general information directly in this window. Here are a few tips:

  • You can type on the keyboard the start and end times.

  • To create a time off entry instead, select the box on the left.

  • Add a custom break if required.

  • View the impact on availability of the employee at the bottom of the sidebar.

  • To create a recurring shift, go to the Recurrence tab. More on that here.

  • You can create a template to save the information on this shift for reuse.

Breaks

You can add multiple breaks to a shift, and you have different options::

  • The break duration (in minutes).

  • A start time (optional).

  • Whether it's paid (breaks are unpaid by default).

Draft mode and publishing the schedule

When you create a shift, it'll be unpublished first (surrounded by dotted lines) and the employee cannot see it. When you are ready to send it to and employee, click Publish.

  • When a shift is published, the employee receives a notification.

  • Published shifts appear with solid lines around them.

  • If you edit the shift, you'll need to republish it to notify the employee.

Important: To minimize the number of notifications sent, we recommend that you publish only once your schedule is complete.
