How do I upload and distribute documents?

Uploading documents in Atlas and how to send them to your staff. How to assign or send documents to employees for sign off.

Uploading a document

  1. Go to My area > Documents > Company documents.

  2. Choose a folder from the left-hand menu.

  3. Click the Add document button.

  4. A slide-out panel will open for you to add details about the document including:

    • The title of your document.

    • The category of document. IMPORTANT: This will confirm which folder the document will be saved in, which may not be the same folder that you have selected. See Document Category Sorting below.

    • If applicable, a version number.

    • Whether the document can be distributed to employees.

    • Whether the document is available to employees.

  5. Select the file to upload.

  6. Click Add.


Distributing a document

  1. After uploading, click Actions (...) > Distribute.

  2. Select what actions are required by the employees receiving the document:

    • No action required

    • Acknowledgement

    • Signature

  3. Choose who should receive the document, such as employees, departments, or a distribution group.

  4. You can set an expiry date for the document. If setting a date, decide what should happen:

    • The document is not available to new users, but is still available to people who have access already.

    • The document should be removed from all users (recalled).

Important: If selecting any option other than employees, you can exclude certain employees from receiving the document.

Supported filetypes and size limit

The maximum file size you can upload is 156 MB (current system configuration) and any of these filetypes:

  • PDF

  • DOC and DOCX

  • PPT and PPTX

  • XLS and XLSX

  • WEBP

  • JFIF and equivalents, such as JPEG

  • PNG

  • MP4
