How do I update documents in Atlas?

Updating important documents in Atlas.

Step-by-Step Guide

1. Go to Your Area

  • Click Dashboard > My Area > Documents

2. Access Company Documents

  • Choose the ‘Company Documents’ subfolder.

3. Find and Update Your Document

  • Locate the document you want to update.

  • Click on Actions (...)

  • Select Update from the dropdown menu. From here you can update:

    • The content of the document, by uploading a replacement document

    • The name of the document being updated

    • The description

    • Leave additional notes.

    • Set an expiry date for the document, if applicable

    • Adjust the category

    • Specify which site(s) the document it applies to.

    • Track the version number of the change


Special Document Types

  • Handbooks, Policies, and Contract Templates:
    Only consultants can update these documents.

  • Risk Assessments / WHMIS assessments and Safe Operating Procedures:
    Update these from the Health and Safety section, not from Company Documents.

    • Updating a Risk Assessment / WHMIS assessment:

      • Health and Safety > Risk assessments / WHMIS assessments

      • If the assessment is in a Pending state, click Actions (...) > Update.

      • If your Risk assessment is Live, you will need to make a copy and archive the one currently listed as live.

      • Click Actions (...) > Archive, then Actions (...) > Copy to make changes, then approve it.

      • Click Actions (...) > Archive, then Actions (...) > Archive to archive the old one.

    • Updating a Safe Operating Procedure:

      • Health and Safety > Safe Operating Procedures

      • If the Safe operating procedure is in a Pending state, click Actions (...) > Update to make the changes.

      • If the Safe operating procedure is in a Live state, click Actions (...) > Copy to make the changes, then approve it.

      • Click Actions (...) > Archive, then Actions (...) > Archive to archive the old one.


Important Note for Health and Safety Documents

The Health and Safety document suite stores only the PDF version of live Risk assessments and Safe Operating Procedures.
