How do I manually enter an employee's availability?

By default, an employee is always available. However, you can change that by adding unavailable and preference periods to each employee to add extra information when creating the schedule.


Access an employee's availability

  1. From the employee's profile by clicking on their name in the Schedule, or by going to HR > Employees.

  2. Select Availability from the left menu, and chose the desired week.

  3. Click the plus (+) icon to add availability details.

Entering the availability

Important: Creating a period of availability without an end date will override all existing availability. If you want to add different availability for different periods, we recommend you don't use recurrences or that you do create the availability in chronological order.

  1. Indicate whether this is all day or between select hours.

  2. Confirm whether this preference will apply to the whole week or not.

  3. If not for the whole week, select which days apply to the unavailability.


Additional options

In addition, you can:

  • Set a recurrence for the availability you have created, with the option to set an end date for that recurrence.

  • Set minimum and maximum hours that the employee is available for the week.

  • Make any additional notes.

You can determine whether the week template can repeat, and it's possible to add an end date. You can also add desired hours to the mix.


See the availability in the schedule

In the schedule, you'll now see lines of colour to visualize the unavailability and the preferences. You can find more information on how these are useful in this article.
