What settings can I change for employee scheduling?

Understanding the settings for Atlas Scheduling

Under Settings > Scheduling, you'll find many options to customize the settings for your organization's scheduling. This article explains these in more detail.


Schedule display

  • Schedule opening and Schedule closing: Respectively when your organization's earliest shift begins and latest shift ends.

  • Change the first day of the week for schedules only: We recommend that you set this day to be the same as the your pay week.

  • Show week number: Displays the week number on the schedule.

  • Show weather forecast: Forecasts are based on the selected location's address.

  • Hide empty positions.


Seniority

  • Add seniority based on total hours worked: When toggled on, you can also select whether to exclude overtime from seniority.

  • Offer open shifts by seniority: Set a response deadline for an employee to accept before an open shift if offered to the employee with the next-most seniority.


Shift settings

  • Default break value: The amount of break given by default when creating a break on a shift.

  • Grace period for shift task completion: The period during which employees can still mark shift tasks as completed after their shift has ended.

  • Employees must confirm new work shifts in their schedule: This will show as a check symbol in the schedule.

  • Allow hiding shift end times from employees: When toggled on, you can also choose to hide shift end times by default.

  • Automatically clock in and out for scheduled training shifts.


Shift transfer requests

Employees can:

  • Offer shifts: Allows employees to give their shifts to others.

  • Exchange shifts: Allows employees to exchange shifts.

Important: Employees can only offer shifts to and exchange them with employees who also have the required position and are available. Refer to this article to visualize the process.


Approval

  • Schedule manager's approval is required for:

    • Shift transfers

    • Availability

  • Required number of days of notice for availability changes.

  • Employees can specify work time preferences.

  • Open shifts must be approved by managers: When disabled, an open shift is automatically assigned to the first employee who applies for it.

  • Employees can apply for open shifts that are in conflict with their schedule.

Important: We strongly recommend against changing these settings. Altering the defaults can lead to abuse of scheduling by employees.


Budget

  • Include on-call shifts in the total hour count: This option adds the shifts under open shifts to the total of hours in the schedule.

  • Include training shifts in the total hour count.

  • Labour cost objective by default: Your target ratio (as a percentage) of labour to profits. This value is used for the labour cost calculator.

  • Custom objective: Lets you add a quantity that is divided by the quantity of daily scheduled hours (example: 80 estimated clients); this can help you assess productivity targets with the schedule.


Compliance management

This setting allows you to define rest and break periods adapted to the wellbeing of employees, in accordance with current recommendations.

Manage rest time: When toggled on:

  • Minimum daily rest: Daily rest of at least X consecutive hours between two shifts.

  • Continuous weekly rest: Weekly rest of at least X consecutive hours.


Scheduler alerts

Manage scheduler labour law alerts for employees aged 16 or under: When toggled on, you will have the option to disable temporarily until a set date.
