Plan your employees' holidays and time off

Rotas & Workforce Management allows you to easily plan holidays and time off with our holiday planning tool.

Whether you need to add time off for an employee or approve a holiday request, the holiday planner is your best ally.

To access the holidaytracker:

  1. Click on the “Time off” tab.

  2. Select the “Holiday Planner” option.

You can easily see the days for which leave is planned and, if necessary, view the details or make changes by clicking on the leave.


1- Creating a time off

To create time off for an employee using the holiday planner;

  1. Click on “Create time off” in the upper right corner

  2. Select the date (if it is a multi-day vacation, select the date on which the vholiday will begin)

  3. Select the employee

  4. If the holiday is for part of the day only, uncheck the “All day” option and select the hours

  5. If the holiday is for multiple days, check the “Multiple days” option and select the dates

  6. If necessary, you can uncheck days that should not be counted or adjust the duration to be calculated per day

  7. Select the type of leave

  8. Click on “Publish” or “Save draft”

Note that to create leave, you can also click on the day for the desired employee and you will then have access to the same options (steps 4 to 8).

For time offs spanning several days, such as summer holiday you can also click on the first day of the leave and drag to the last day while holding down the mouse button. This allows you to plan holidays quickly and efficiently.


2- Manage time off requests via the vacation planner

If a time off request is pending, you can distinguish it from approved time offs by the small orange dot and the word “Pending” in the filters at the bottom of the planner.

To manage the request via the vacation planner:

  1. Click on the pending leave request

  2. Confirm the hours

  3. Confirm or indicate the type of leave

  4. Click on “Approve” or “Reject”

  5. If one or more shifts are in conflict, you will have the option to manage the conflict by clicking on “Manage” or to deal with it later by clicking on “Approve”

Please note that you can also approve leave requests via the classic planner or via “Time off” -> “Time off request”


3- Other options

The holiday planner also allows you to perform certain actions via the “More” button located in the upper right corner

  1. Configure automated time offs (admin only)

  2. Manage time offs (admin only)
