How do I approve or reject a time off request?

How managers can approve or decline employee time off requests in Atlas, including notification processes and entitlement updates.

When an employee submits a time off request in Atlas, their manager receives a notification by email and as a task in the system. You can identify an employee’s manager by checking your department structure in Atlas—the manager is listed at the centre of the department box. Delegated users for that manager will also be notified, but only the first person to take action will process the request.

How to Approve or Decline a Time Off Request

Managers can approve or decline holiday requests in two ways:

  • Via the Dashboard:


    Go to Dashboard > Team Time Off/Company Time off > View
    – This view shows all pending time off requests awaiting your action.

  • Via Employee Management:


    Go to Dashboard > Employees > Manage > View (eye icon) > Holidays and Absence > Actions > Amend/Approve or Decline
    – This view shows all holiday requests submitted by a specific employee.

You can also provide a reason when declining a request.

Once a time off request is approved or declined, Atlas will automatically notify the employee by email. If declined, the requested days are returned to the employee’s annual entitlement, allowing them to rebook those days in the future.
