How does multi-company access work for users?

Understanding how users log in, switch between companies, and manage their session in Atlas

Once a user has been set up with access to more than one company, here's what they can expect.

Logging in

How a user reaches Atlas determines which company's login screen they see first:

  • From a welcome e-mail: Each welcome e-mail contains a link that takes the user directly to that company's login screen. The first e-mail guides them through setting a password. Any further welcome e-mails for additional companies confirm they can use their existing credentials.

  • From a bookmarked link: Takes the user to the login screen for that specific company.

  • From the main Atlas URL: The user enters their e-mail address and is taken to the last company they accessed.

Every Atlas e-mail (including welcome e-mails, task notifications, and document alerts) displays the company name just below the Atlas logo, so users can always identify which company an e-mail relates to.

Switching between companies

Once logged in, a company switcher is available at the top of every page. Users can switch between companies without logging out. They can also open a new browser tab and switch companies there, allowing them to work in two companies side by side.

Data stays separate

Each company's data is completely separate. When viewing one company, users only see the documents, files, training content, dashboards, and tiles that belong to that company. Nothing from another company is visible.

Multifactor authentication (MFA)

If any one of the companies a user belongs to has MFA enabled, the user will be asked to complete MFA every time they log in, even if other companies don't require it. MFA will only stop being required once every company the user belongs to has it switched off.

Changing an e-mail address

Because the e-mail address is the link connecting a user across all their companies, it cannot be changed through the administrator interface. If a user needs to update their e-mail address, please contact Citation support.

Logging out

Atlas uses a global logout. When a user logs out from any tab (regardless of which company they're viewing), they're immediately logged out of all companies and all open tabs at once.

Pro tip: If a user reports being unexpectedly logged out, the most likely cause is that they or someone else clicked Log out in another open tab.
