How to create a Safe Operating Procedure (SOP), where to find your SOPs.

A work Safe Operating Procedure (SOP) - sometimes called a "safe system of work" - is a document that details the way a work task or process is to be completed. It should outline the hazards and include a step by step guide on how to do the job safely.

IMPORTANT: SOP's can pull relevant information from Plant & Equipment and

Risk Assessments. You will also have the option to create new entries, or reference external sources.


Accessing my SOP's

From the left-hand navigation menu, simply go to Health and safety > Safe operating procedures.

From the landing page, you can view all your organization's SOP, using the tabs to navigate between the the different status' of the SOP - Whether they are live, completed or archived as they are no longer relevant. You can also filter between the different sites and their specific SOP's, and search by title.


Creating an SOP

To create a new SOP, simply click the Add Safe Operating Procedure button in the top-right corner. You can also use an existing or example SOP as a template, by clicking the Actions icon (...) next to it and selecting Copy.

The creation of an SOP contains seven steps. Any changes you make will be saved between pages, and you can navigate back and forth as needed using the menu running along the top of the screen.

1. General

To begin, fill out the basic information:

  • The SOP name.

  • Select what will appear at the top of the output document.

  • Start date and, if required, End date.

  • The location (Select from your sites, or input a new address).

  • Name, address and contact information of the client.

  • Client and Project reference numbers, if applicable.

  • Information on supervisor, project manager and/or the principal contractor, if applicable.

  • A brief description.

  • Choose whether or not to print employee acknowledgement of the SOP

2. Sequence of events

Here you're able to select sequences of events that you've created in your procedure area - this is the step by step guide guide on completing the job.

Click the Add Sequence of Events button top open the sidebar, and select from the list of example sequences that Atlas provides. You can also create a new sequence of events by clicking the button at the top of the sidebar, giving it a name and description. This will then be available to select for future SOP's.

Once the steps have been added, you can click and drag them to make sure they are in the right order. Clicking the Actions icon (...) will allow you to update the name and description.

3. Plant & equipment

In this section, you will be able to add any plant and/or equipment items from within the company that is relevant to this SOP.

Clicking the Add button will allow you to select from your existing item bank within the Plant & equipment section, or you can create a new item directly from the SOP (This will then be added to your existing bank of items.)

4. Safety precautions

IMPORTANT: It is recommended that you you complete one section first, before moving onto the next.

In this section, you will be asked to select any applicable Personal Protective Equipment (PPE) that is relevant to this SOP. Clicking each field will bring up a dropdown menu of items, select all that apply.

Then, click the tab for Safety precautions next, and click the Add Safety Precautions button to bring up a sidebar containing examples of precautions to take - Select all that apply, or create a new one from scratch. Once the precautions have been added, you can click and drag them to make sure they are in the right order. Clicking the Actions icon (...) will allow you to update the name and description.

5. Further information

On this page, you can add any additional information that applies to this SOP. This is broken down into four sections:

  • Related risk assessments - Provide details of any external risk assessments, or add one created in the Risk assessments area of Atlas.

  • Facilities affected by works - Provide the details of any facilities that may be affected by the work that is being carried out.

  • Foreseeable adverse effects - Provide the details of any foreseeable adverse affects and the controls you have in place.

  • Monitoring systems - Provide the details of any monitoring systems you have in place for the work being carried out

6. Supporting documentation

Use this section to upload any documentation that is relevant to this SOP. These can be imported over from the documents library, or uploaded from your device.

7. Preview

In the final step, you will have a chance to preview the whole SOP article - This will be your opportunity to check that the information it contains is accurate, or if you will need to revisit previous steps to make adjustments.

Once you are satisfied, click the Approve button to confirm the completion of the SOP. The .PDF will be added to your Company Documents folder, located under Health and safety documents > Health and safety document suite.

You will also have the option from this page to:

  • Export as a.PDF document

  • Print from the browser

  • Email to any user within your Atlas account (IMPORTANT: User must have an email address on their user profile.)
