Rounding and Clock-In Automation

For users of Atlas Scheduling: How to use Clock-in/Clock-out automation to simplify time tracking.

If you want your employee's clock in times to match their schedules, you can activate automated clock-in times.

*Note: Breaks are not rounded.


1 - Automation

Automations can be used to align the clock in/out times with the times that the employee is scheduled.

1.1 How the automation works

Shift start time rounding is used to round any clock in time back to the scheduled time, based on the rounding interval you set.

You can:

  • Automatically adjust early clock-ins to the scheduled start time, within a specified time window (ex 15 minutes).

    • Example:

      • Employee A is scheduled to start at 8:00am and clocks in at 7:58am. It is within 15 minutes, so the clock in time will be adjusted to 8:00am automatically.

      • Employee B is scheduled to start at 8:00am and clocks in at 7:44am. It is not within 15 minutes, so the clock in time will remain the same.

  • Automatically adjust late clock-outs to the scheduled end time, within a specified time window (ex 15 minutes)

    • Example:

      • Employee A is scheduled to end at 4:00pm and clocks out at 4:03pm. It is within 15 minutes, so the clock out time will be adjusted to 4:00pm automatically.

      • Employee B is scheduled to end at 4:00pm and clocks out at 4:16pm. It is not within 15 minutes, so the clock out time will remain the same.

  • Automatically round clocking times based on a selected interval and tolerance (ex round to the nearest 5 minutes, tolerance set to half the rounding interval).

    • Example:

      • Employee A clocks in at 8:03am. Because the rounding interval is 5 minutes, their clock in time will be rounded to 8:05am, since it is more than halfway between 8:00am and 8:05am.

      • Employee B clocks out at 4:03pm. Because the rounding interval is 5 minutes, their clock time will be rounded to 4:05pm, since it is more than halfway between 4:00pm and 4:05pm.

1.2 - Activate the automation

An administrator can activate the rounding of entries by following these steps:

  1. Go to the Atlas Scheduling > Settings tab of the main menu

  2. Click on the Attendance submenu option

  3. Scroll down to the Automation section

  4. Activate the setting(s) of your choice from Time entry adjustments and Rounding rules

  5. Set the time window, ex. 55min and Save

1.3 Conditions where automation applies

For automated clock-ins to work, these time entries must have been clocked in by your employees.

Any entries that have been clocked in automatically (by Atlas) or that have been manually entered by you or your staff will not be rounded.

Additionally, rounding automation works in real time, so it will only work if your schedule was published before the scheduled shift.
