How do I withdraw hours from an employee's time bank?

If you've activated time banks, you can bank overtime hours, but also use the hours in this bank to complete your employees' timesheets.


Completing a single employee's timesheet

Automatic adjustment

You can make an automatic adjustment to remove hours from the accumulated time bank to reach the overtime threshold set either in the organization's settings, or in the employee's individual profile.

Important: If your employee doesn't have a fixed threshold, you should perform a manual adjustment (as described later in this article) to determine the number of hours to withdraw from the bank.

To make the automatic adjustment, go to the Attendance tab and click on the desired employee to access their timesheet.

Make sure you select the correct pay period for which you wish to make the adjustment. Then press the adjust timesheet hours icon in the top-right corner.

A menu will open allowing you to choose the options to complete the timesheets with the banked hours.

  1. Check the option Complete timesheet using banked hours.

  2. Confirm the correct bank is selected.

  3. Decide whether to allow a negative balance.

    • Example: If 10 hours are missing to reach the employee's hours threshold and they have a balance of five hours in the bank, the timesheet will still be completed and their next balance will be negative five hours.

  4. Click Apply.

The hours will then be withdrawn from the bank and added to the timesheet to complete it.

If you aren't satisfied with the automatic adjustment, simply delete the transactions by selecting them and pressing the trash button.

The hours will be returned to the bank, and you can make another automatic adjustment by selecting different criteria, or make a manual adjustment as shown below.

Manual adjustment

If your employee does not have a fixed hours threshold and you wish to choose the number of hours to be added to their timesheet, you can make a manual adjustment.

To do so, click on the desired day to add a time entry.

  1. Select the type Bank at the top of the page.

  2. Confirm that the correct bank is selected.

  3. Select Remove hours from this bank.

  4. Enter the number of hours to be removed from the bank.

  5. Press Save.

The hours will be withdrawn from the bank and added to the timesheet.


Complete timesheets for all employees

You can also make an automatic adjustment for all your employees at once if each of them has a fixed hours threshold.

Important: If some of your employees don't have a fixed hours threshold, don't make a mass adjustment. Instead, make individual adjustments as described above.

To make a mass adjustment:

  1. Go to the Attendances tab in the main menu on the left.

  2. Select the appropriate pay period.

  3. Click on the adjust timesheets hours icon in the top-right corner.

  4. Check the option Complete timesheets using banked hours.

  5. Confirm that the correct bank is selected.

  6. Decide whether to allow a negative balance.

    • Example: If 10 hours are missing to reach the employee's hours threshold and they have a balance of five hours in the bank, the timesheet will still be completed and their next balance will be negative five hours.

  7. Confirm the action.

  8. Click Apply.

Note: You can also deduct overtime and bank it at the same time as completing incomplete timesheets. To do so, check the Bank all overtime option at the same time.
