Important: Public Holidays can be created en masse or individually in the Scheduler. Public Holidays can also be created in the timesheets directly. To create a public holiday for one employee, add time off and select the Automatic calculation option.
You can set a rule when creating time off to calculate the Public Holiday Pay for each employee. You can set the rule while creating time offs in bulk.
This feature is only available for Atlas Scheduling users.
Create a Public Holiday in the Schedule
A) Bulk Time Off Creation
Access the the bulk time off creation window from Atlas Scheduling > Schedule > More (...) button top right of the agenda, then click Create multiple time off.
From here, you can choose the date, and the time off type, for instance - Public Holiday.
How to proceed when your employees are assigned to more than one location
If you have employees working in different locations which are entitled to different statutory holidays (for example a site in Ontario, and another in Quebec), you will want to ensure that each employee gets the Public holidays applicable to them.
You can use the Employee with this main location filter to narrow the scope, allowing you to create these holidays for each location:
If you do not select this filter, the time off / public holiday will be created for all locations assigned to your employees, which will result in multiple time off entries for each employee with more than one location.
B) Date and Time Off type
Select the date when you will pay the Public Holiday
Select the correct Time Off type
C) Calculation Rule
Select automatic hours calculation method
Select the date range that must be accounted for
Hours calculation
You can choose to divide worked hours by a predetermined number of days (i.e. 20)
You can choose to divide worked hours by the number of days the employee worked during the interval
Note: Depending on the jurisdiction or industry you work in, pay for public holidays may be calculated differently. If you have questions, please consult an HR expert, like our Live HR Advice team.
D) Reporting to Timesheet
The day of the Public Holiday, Atlas Scheduling will automatically create a time entry for each employee selected. The number of hours will not be calculated until then.
Extra tip: If you forgot to create the public holiday in advance, you can always create it manually under the timesheets!
The next time you export the payroll, the column Public holiday will show the number of hours resulting from the hours worked and the rule that you have set.
