Set Individual Time and Attendance Settings for a Specific Employee

How to customise the clocking rules for a specific employee or department.

By default, the organisation settings apply to every employee. However, some of our “Time & Attendance” settings can be scoped at the employee level. This can be particularly useful, by example:

  • For employees who don’t need to clock in (such as managers)

  • For Employees who simply require stricter or looser clocking rules

  • For employees with certain positions

A) Accessing the Settings

To access individual settings:

  1. Go to the employee profile from the "HR" ->Employees” menu

  2. Click on “Settings”, and then go down to “Time and Attendance


B) Employees that don't need to clock

If an employee doesn’t need to clock in, you may check the following box:

If clock in not required, scheduled hours will be directly sent to the timesheets as the shifts are completed

IMPORTANT

The automatic transfer will take place after the end of the scheduled shift. Changes from past scheduled shifts won’t carry over. See this article for more details.


C) Ways to Clock

You can override the organisation settings and dictate what employees can clock in what fashion.

If a mandatory clocking radius is activated for your organisation you can remove this for an individual employee (ie make employee an exception to the rule so they can clock in from anywhere.


D) Override the organisation's time clock settings

This employee needs to be scheduled in order to clock in

If you activate this setting, it will prevent the employee from clocking if a shift was not planned for that time. You can also give him/her a time window within which clocking in advance will be allowed

Use the shift's planned start time when this employee clocks earlier than planned

This setting is strongly recommended.

Whenever the employee clocks in earlier than planned and within the specified time window, the timesheet will automatically set the clock-in time to the planned start time. However, If the employee clocks before the window, the time entry will not be applied.

IMPORTANT
If the employee clocks in late, Rotas and Workforce Management will not re-adjust the time entry.

Automatically adjust the CLOCK OUT time

Same concept as the clock in time but for the OUT time.

Whenever the employee clocks out later than planned, the timesheet will bring back the clock-out time to the planned end time. However, all clock out times that will be after the affected window will not be adjusted and will require approbation.

IMPORTANT

If the employee clocks out before the scheduled end, we will not automatically adjust.


E) Biometry

If the option to take a photo when your employees clocks on a fixed terminal is activated, you will have this setting activated in your employees profile.

In the event that an employee does not give his consent for the biometric analysis to be performed, you will have to deactivate it by clicking on it .
