How do I run the year-end procedure?

Closing out one vacation year and setting up the next

Written by Cipher

The year-end procedure in Atlas helps you close one vacation year and prepare for the next. You’ll receive an automatic e-mail reminder from Atlas on the first day of your new vacation year.

Accessing the year-end procedure

  • Go to: Company > Year-end procedure in Atlas.

Procedure options

  • Set up vacation entitlements for the new year (for example, add extra days for long service).

  • Carry forward unused holidays from the previous year (if your company allows this).

Step by step

  1. Review vacation settings

    • Adjust default vacation settings before making changes to individual employees.

    • Enable the carry-forward option if you want to allow unused vacation to roll over.

  2. Resolve pending requests

    • Close all pending vacation or absence requests from the previous year before you continue.

  3. Confirm year details

    • Double-check the details for the new vacation year before moving on.

  4. Review and edit employee vacation entitlements

    • See a list of all employees with their current vacation details.

    • Edit each employee’s entitlement and carried-forward vacation amount as needed.

    • You can allow some employees to carry over vacation and not others.

  5. Confirmation

    • You’ll see a confirmation message when the year-end procedure is complete.

After the procedure

  • All changes will be applied to employee records, and vacation can be booked for the new year.

  • If you make a mistake or need to repeat the process, you can return to the year-end procedure page and redo the steps.

  • For small changes, you can edit vacation entitlement and carried-forward units directly from the Job tab in an employee’s record without repeating the full procedure.
