How do I decline or approve a time off request?

You can approve or decline time off requests for your team directly in Atlas. Here’s how to manage these requests quickly and accurately.


How You Get Notified

  • When an employee submits a time off request, you receive an email and a task in Atlas.

  • To check who manages an employee, look at your department structure in Atlas. The manager is listed in the centre of the department box.

  • Delegated users may also be notified. The first person to act on the request will be recorded as the declining user.


Ways to Approve or Decline a Holiday Request

1. Review All Pending Requests

  • Go to:

    Dashboard > Team Time Off/Company Time Off > View > Actions > Amend/Approve or Decline

  • Here, you see all time off requests waiting for your action.

2. Review Requests by Employee

  • Go to:

    Employees > Manage > View (eye icon) > Time Off and Absences > Actions > Amend/Approve or Decline

  • Here, you see all holiday requests submitted by a specific employee.


Adding a Reason for Declining

  • When you decline a request, you can enter a reason to explain your decision.


What Happens After You Act?

  • Once you approve or decline, Atlas automatically emails the employee with the outcome.

  • If you decline, Atlas returns the requested days to the employee’s annual entitlement, so they can request them again later.
